Recruiting

Recruiting that stays organized day to day. From the job posting to onboarding.

mana HR brings the active recruiting process together in four modules: create job postings, manage applications, onboard new employees and keep good candidates for later. You work with a job posting editor that has a live preview, applicant management with Kanban and list views, the BA plugin for the German Federal Employment Agency, interview scheduling through Microsoft Outlook Calendar and structured onboarding templates per role. Candidates who just missed the mark move into the talent pool instead of getting lost. On top of that, personal customer success support is included by default. Recruiters, hiring departments and new colleagues find everything in one place. No switching tools, no detour through Excel, no homemade interfaces.

What is the recruiting area in mana HR built for?

From the first posting to the first day at work. Advertise roles, manage applications, decide, onboard. And keep an eye on the good candidates who did not fit this time. Recruiting is one of three solution areas at mana HR and the core of the system. Built for the larger DACH mid-market with 250 to 2,000 employees.

What holds job postings, applicant management, onboarding and the talent pool together?

Recruiting is one continuous process. A role starts with an idea in a department and only ends once the new colleague begins their first day in a structured way. mana HR pulls that whole arc together in one system. Applications that come in through the job posting land straight in applicant management. Candidates who sign the contract there move seamlessly into onboarding.

And the process does not end with a rejection. Someone who was strong and simply did not fit this role moves into the talent pool instead of being discarded. When the next suitable role opens up, the contact is still there. That turns the linear chain into a loop. You lose no data in the handover, your departments see the same status you do, and new employees experience a process that holds together.

Which recruiting situation is this area meant for?

For companies in the larger DACH mid-market that have outgrown Excel and Outlook in recruiting, that come from a specialist tool that has become too rigid day to day, or that run mana HR as a recruiting specialist alongside an existing HR suite when its recruiting part does not carry enough. Typical size: 250 to 2,000 employees, several locations and departments that want to take part in the hiring process.

This area is built for two very different roles at once. For recruiters who work in the system every day and need depth. And for colleagues from the departments who maybe log in four times a year and still have to find their way around right away.

What does mana HR do differently in recruiting?

Four things that often tip the balance in a conversation.

First, a job posting editor with a live preview, where recruiters adjust the logo, header image, text, colors and the order of the benefits by drag and drop, without tech support. A quick apply option per role and custom application forms per job are built in.

Second, configurable workflows in applicant management instead of fixed process tracks. Your process shapes the system, not the other way around.

Third, native DACH specifics: the BA plugin for the German Federal Employment Agency, German servers and interview scheduling through Microsoft Outlook Calendar, so the departments stay in the calendar they already use.

Fourth, a customer success model with personal support and a review cycle every six months. You have a dedicated contact who knows your setup. The product support with a 4-hour response time runs separately from that.

Onboarding

Structure the ramp-up with onboarding templates per role. You set up your own phases, for example contract, equipment setup or first week, and fill them with standard tasks. For each job you add any missing tasks, so every role gets its own path. Tasks go to the people responsible, reminders run automatically, documents sit centrally in the system.

Frequently asked questions

What does mana HR cover in recruiting?

mana HR covers the entire active recruiting process. Create and publish job postings, manage applications and select candidates, onboard new employees in a structured way and keep good contacts for later. The four modules job postings, applicant management, onboarding and talent pool work together. Applications from a job posting land straight in applicant management, hires move into onboarding without any data transfer, and rejections with potential go into the talent pool.

Is there a Kanban board in applicant management?

Yes. In applicant management, mana HR offers a Kanban view and a list view to choose from. In Kanban you see applications as cards per recruiting stage, in the list view you can sort and filter by status, department, location or rating. You switch between the views per role and per recruiter.

How customizable are job postings and application forms?

Very far. You build job postings with an editor that shows you the finished result right away, in your corporate design. You swap the logo and header image, reorder benefits by drag and drop, set colors via color codes and switch building blocks like the benefits box on or off. The layout stays clean, and recruiters need no tech support. For each role you decide whether the quick apply option is active or a custom application form with its own required fields. That way an accounting role can have a different form than a workshop job.

How does mana HR support working with the departments?

Through three building blocks. Evaluation templates structure the feedback from colleagues in the departments, without them having to understand the whole system. Roles and permissions make sure everyone sees what they need to see. Interview scheduling through Microsoft Outlook Calendar matches availability for interview slots, so the department stays in the calendar it already uses. Departments get tasks assigned to them instead of running parallel email threads.

What happens to candidates who are not hired?

They do not have to be lost. Someone who was convincing on the merits and simply did not fit this one role moves into the talent pool. It is built straight into applicant management, so no separate tool and no extra login. When a suitable role opens up, you find the profiles again through search and contact them directly from the system. mana HR manages deletion periods and consents in a GDPR-compliant way. The aim is for the pool to run along in daily work and not become a maintenance chore itself. That is exactly where many talent pools fail.

What automations does mana HR offer in recruiting?

mana HR deliberately relies on a few practical automation building blocks rather than a large workflow engine. Automated today: the acknowledgment of receipt to applicants. For recurring steps like interim replies, rejections or status updates you use bulk actions: select, pick an action, done. On top of that, tasks and reminders for you and your team. More building blocks are added here and there, wherever they genuinely save time day to day. We would rather build a few features that hold up than a broad library that almost no one configures all the way.
